PAYMENT TERMS
All orders are payable by Visa, Master card, company check or cashiers check at time of order placement. See below for 30 day terms. All credit card payments are subject to a 1.5% convenience fee.

30 DAY NET TERMS
In order to take advantage of our 30 day net terms you must place a credit card on file with us. Your card will only be charged in the event that an invoice becomes 14 days past due. Please make timely payments to ensure that your account remains in good standing and there are no delays in service.

PURCHASE ORDERS
A purchase order is required for all orders. If you do not have software, there are several free downloads online.

PRODUCTION TIME
See pricelist for production times. Production time does not begin until a PO is received, design is approved and garments are in house. Please call for availability on rush orders.

HERITAGE PICKUP
Pick ups are made Friday mornings. Eligible orders must be placed by noon on Thursday to ensure the order is ready in time. Regardless of the day you place your order, production time begins on the Friday we pick it up.

SHIPPING TERMS
We ship daily using UPS ground. One, two and three day shipping are available at an additional charge. We are able to ship using third party accounts with UPS free of charge. You will receive a UPS Quantum View notification the day your order ships. To ensure these notifications make it to your inbox please add auto-notify@ups.com to your email address book.

SHIPPING CHARGE BACKS
Red Hat will invoice any charge backs from carriers due to incorrect shipping information. This includes but is not limited to residential vs. commercial addresses, incorrect addresses, area surcharges, dimensional weight, etc.

RUINAGE
We have a 1% ruin allowance on all orders and all locations. Ruined items are your responsibility to replace. We will embroidery only ruined items at the same rate as the initial order. We will credit your account for any items over 1% once we receive a copy of the invoice for the replaced items. Ruined items must be returned to Red Hat before a credit will be issued. A new purchase order is required even for replacement items. We will not, under any circumstances, replace ruins of any previously worn garments or garments that were purchased retail. All claims must be made within 30 days.

DIGITAL PROPERTY
If you have paid for complete digitizing of a design, that design belongs to you. You may request a copy of that design at any time. We deliver files via email. If you need files on a disk there will be a $5 fee plus shipping costs. If you are requesting a large amount of data, the cost will be $25 per hour (1 hour min) plus shipping costs. If you send us a design on disk, the disk will not be returned so please keep a copy for yourself. Files containing stock design and/or free setup designs are non-transferable. Red Hat is not responsible for data loss and does not guarantee the safety of your files are our servers.

REORDERS, REPLACEMENTS, ADD-ONS
Are considered new orders and are priced based on the quantity/stitch count in the new order.

SPECIALS AND PROMOTIONAL CODES
One promo code per order. Codes cannot be combined with any other specials.

DELAYS IN SERVICE
Red Hat will not be held responsible for delays in service for any of the following reasons: delayed approval of design, delayed shipping of garments, incorrect goods, past due accounts, delay in receipt of purchase order, delays in UPS service for weather or any other unforeseen condition that is not the responsibility of Red Hat.

ORDER CANCELLATION
And order can be cancelled at any time before embroidery or digitizing production begins without charge.

PROBLEM RESOLUTION
Any problems regarding completed orders must be addressed within 30 days of product shipment. Red Hat will not be held liable for supplier errors. Red Hat will not be held liable for errors on artwork/colors once artwork has been approved. Placement and/or quality issues must be addressed within 30 days and replacement/repair will happen that the sole discretion of Red Hat. Red Hat will not be held liable for any errors on any part after the 30 day period.

MOISTURE WICKING MATERIALS AND SPECIALTY GARMENTS
Many of these garment types sew perfectly well. Many others are not embroidery friendly. If it is determined during normal production that the garments allow for a high chance of ruin, production will be stopped. You will be contacted and asked to sign a waiver before production will begin again.

SAMPLES
A purchase order is required for sample garments or swatches and will be charged the one piece price. E-swatches are free with paid digitizing.

RECEIVING
Your incoming shipments must display your company name and purchase order on the outside label. This will ensure the quickest possible check in and verification of your order. Failure to do this may result in delays. We work off of purchase orders, sending goods without first sending a purchase order will result in delays.

FREIGHT SHIPMENTS
Please contact us to arrange freight shipments in advance. If your freight company does not provide inside delivery, loading and unloading of trucks will be charged $25 per hour with a 1 hour minimum per load/unload and must be scheduled in advance. Outgoing freight shipments are at your arrangement.

STORAGE
Red Hat cannot be responsible for merchandise left at our facility for over 60 days. If you need to have these items warehoused for a longer period of time please contact us to make arrangements, otherwise your items may be discarded.

RUSH CHARGES
Rush charges will be added to your invoice as needed and without notification in order to meet the ship date you have provided. To avoid rush charges please make sure you order, goods and approvals arrive in time to allow normal production time.

ORDER PLACEMENT
Orders received by 12pm are considered same day. Orders palced after 12pm are considered next business day and will be scheduled accordingly.

MARKETING AND ADVERTISING
Red Hat reserves the right to use any design for marketing or advertising purposes. Such designs may appear in printed ads, email campaigns, trade show samples and website samples.

CUSTOMER SUPPLIED DESIGNS
Red Hat is not responsible for quality of designs that were not digitizing in-house. When you submit a design it is assumed that you have seen the design and approve of it’s quality.

COMMUNICATIONS
All communication must be done in writing. Instructions and/or orders cannot be taken over the telephone.

PRICING
We always honor our published pricing. We do not honor incorrect pricing on purchase orders.

POLICY AND PRICING CHANGES
Red Hat reserves the right to change policy and pricing at any time without notification. Please contact us at any time you wish to receive an up to date version of our policies/pricing.

By placing an order with us it is understood that you agree to our terms and conditions.
